Database manipulation to develop report

Hi< I am a trainer/assessor for Vocational Qualifications. The company that I work for uses a database (Axcelerate) as a data management system, from which, I can request reports that can be exported in Excel. Typically, I get one line for every unit of competency a student is undertaking. Typically 16 lines per student. The outcomes have three possibilities CA - Not yet completed, CT - Completed by Credit Transfer, and C - completed. I wish to run this report and based on the results, I wish to send an email to each student at a convenient time each month, this email should show the following information, Units completed so far and how achieved - Unit Code, Unit description, then "C" or "CT" as appropriate Number of units not yet completed (CA) and then listing the Unit Codes and Unit Descriptions for these units remaining to be done. Frankly, I do not know where to start, I suspect Access report may be required, but am open to suggestions. The database example that I can extract as the source each month is attached for your perusal. Hoping you can bring wizardry and magic to the table to help me out.
