Online booking tracking and reporting system.

This system will have a front end user with passwords/management reporting criteria/back end user ratings etc

A back end user inputting job data in line with 8 process points and automated email responces and service level agreement flags.

A center management system having access to all information running off two main databases - one for front end user inputs and the other is potential front end user database with company information abd email addresses.

Center management has rotating flyer marketing information automatically emailed out weekly to potential user database. Data dump to invoices from calculated percentage of back end user jobs. etc

Full scope of works is listed in detail.

Please feel free to bid if you have a similar system that may need minor adjustments to achieve the full scope required. Source code will be required.

**Scope of works for online booking tracking and reporting system**

This system is automated and paperless. It will allow the end user to book in all their work, monitor the process of each job through the identified process points that automatically send a generic email to the user upon each up dated process point. The system will flag all work falling outside of service level agreements and notify both the back end operator and the user, offering the back end operator a comments section notifying the user of the reason.

This system will have a central management point between the front end user and the back end operator that has access to all the information and other internal database information including the allocation of user names and passwords. The central management will consist of two main databases. The first one will be a list of all potential clients that have been documented to use the system whether they are currently using it or not. The database entries must be able to be viewed and edited in an excel style format. The second database will be a tracking database that displays all entered jobs from the user’s in an excel style format, however, these entries must be able to be accessed through a mouse click to a screen page display showing more detailed information including up loaded before and after pictures, process point display, comments section, Builders details icon (click to view builders license, insurance and other company information), property address information, real estate agency details, contact information, tenant information and job description.

The central management area will also have a basic invoicing system that calculates a 10% commission off the back end operators quoted cost to the user. This cost should be displayed to the central management area “only?? and be calculated into a data dump to a basic accounts program built into the system. Once the data dump is complete the system should offer center management an email invoice icon to forward the invoice to the back end operator. Also all invoices should be able to be accessed by center management for viewing or accounting purposes? These invoices should also have an option to be emailed to a third party (accountant) if required.

Central management should also have a marketing section that stores marketing flyers for the back end operators that can be emailed to the list of potential front end users that are listed in the user database. The user database will have a list of all user information including multiple email addresses per entry that rotating flyers will automatically be sent to weekly. The front end user database (potential users) and the tracking of jobs database has to have edit options for any information changes that have to be made. This editing facility must be able to be done while viewing the database in it’s excel format. A auto archive of all jobs over 12 months old in the tracking database should be automatically filed monthly and emailed to the central managers email for storage purposes and taken off the system keeping the amount of information in the system limited to guarantee the system speed to the front end users.

Each front end user company must have multiple user names and passwords for different staff. The senior manager must have management reporting access to all work from all staff from the user company. The management reporting section should have search criteria such as date ranges, search on costs of jobs (job value$$$?) suburb/location and particular staff/user within organization. This information should be accessed through the tracking database that has a log on all jobs and their information in the system. The before and after photo display information for the users should appear as an icon on the user template that indicates up loaded pictures for access though not shown if no pictures have been uploaded by the back end operator. The job booking template for the user should also have an icon to view all system back end operators giving other builders options to the user incase the user is unsatisfied with the service being provided to them they can explore other back end operators and therefore stay within the system (the star rating information will assist this). The display list of the back end operators to the user should also be a click icon displaying all the necessary license, insurance and other relevant information that the user needs to clarify before engaging the services of that particular back end operator (builder). The user will also have a rating per job icon, that allows them to give a 1 to 5 star rating on three criteria, 1st Price, 2nd Prompt Service and 3rd Quality of work, including half stars, that the system calculates and gives an over all average star rating on all templates, and also displayed on the back end operators up load template informing their company of how the front end users are rating their work.

The back end operators working template must have up load information access for all process points, before and after photos and comments section. The process points are as follows including automated generic email points:-

* Request for quote ??" this process point is inputted by the client/user. The system must allocate a numeric job number to this job. No one job has the same job number in the system. The request for quote has a 7 day service level that is flagged if the quote has not been inputted by the back end user within the set 7 day time frame. An automatic generic email will be sent to the user/central management and the back end operator. The system will have a comments section for the back end operator to fill in notifying central management and the user of the reason.

* Quote done ??" the back end operator must input the quote information into the system quote template on the back end that can be viewed and printed by central management and the front end user. This should also have a automatic generic email notifying central management and the user that the quote has been up loaded.

* Quote accepted ??" this information the user inputs to verify that the quote has been accepted and authorizing the commencement of works. This should also have an automated generic email with job details notifying both central management and the back end operator of job acceptance. This process point should also have a service level agreement of 7 days at which all parties will be notified by an automated generic email with a comments section for the back end operator to fill out notifying all parties the reason why the commencement date has not been set.

* Commencement date ??" this information is updated by the back end operator upon booking a start time with the tenants and should be automatically emailed to all parties notifying them of the commencement date.

* Job complete ??" this process point is up dated by the back end operator with an automated generic email sent to all parties notifying them of job completion. This process point should also have a service level of 2 weeks flagging all jobs in progress that have not completed within a 2 week time frame and offering the back end operator a comments section notifying all parties of a job progress up date.

* Inspection report ??" this information is inputted by the back end operator notifying the user “only?? but being able to be accessed from the tracking database, final inspection + after photos where necessary and job satisfaction information including tenant comments, names of tradesman and other relevant information. This process point should also have an automated generic email sent to the user “only??.

* Invoice ??" the back end operator invoices the user for the full amount outstanding on his/her own accounts system. The user is not obligated to pay the invoice until this process point has been completed. The central management system should automatically calculate a 10% commission and data dump this information weekly into an internal invoice for central management to email to the back end operator and/or third party. This process point should also have an automated generic email to all parties notifying them of the invoice back end operators invoice to the user..

* Payment received ??" the uploading of this information is the responsibility of the back end operator to notify all parties of the payment being received. This section should have an automated generic email sent to all parties notifying them that payment has not been received within the payment terms of 30 days.

The above scope of works will be broken up into three completed sections for the “Back End Operator?? the “Central Management?? and the “Front End User??, and a part payment made on the satisfaction of each of these successfully completed sections.

I will require the source code to keep on file. Also the referred to above databases content is already in excel format and will need to be easily up loaded into the new system upon its completion. Each section must be finished within a two week time frame. Please advise me if more time is required? However, compensation may be required if time frames are not met.

There will be a further job after this for a website design to operate with this system and on going graphic design jobs for all required marketing material.
